Deposit and defence of the doctoral thesis itinerary

The Academic Commission will arrange the assignment of a Mentor and a Supervisor, responsible for advising and supervising doctoral.

The researcher-in-training must go through each of these stages and substages to be able to carry out the Defense of his doctoral thesis.

Itinerary and requirements for the deposit and defense

1. Dissertation Submission Prerequisites

  • Favorable report by the dissertation supervisor.
  • Completion of all Mandatory Training, along with optional activities instructed by the dissertation supervisor (as well as any additional training, if required).
  • A month-long (minimum) research visit at a center other than the institution granting the doctoral degree (the International Doctorate Mention requires a minimum visit of three months at a foreign research center).
  • Exhibit scientific productivity by ways of published materials, as required by the candidate´s Academic Committee.

 

2. Applying for the Dissertation Submission

The candidate must present the following documentation to the CEINDO Secretariat electronically, sending all the documentation to the following email addresses depending on the university in which they are registered:

CEINDO Secretariat forward it to the Academic Committee:

  1. Dissertation submission application approved by the Dissertation Supervisor
    (ANNEX I).
  2. Curriculum Vitae.
  3. PhD Activity Report validated by the Supervisor, containing the records of placement at a research center as specified in the candidate´s program handbook.
  4. The Doctoral Dissertation in both physical and electronic formats.
  5. A proposal for an evaluation board (3 or 5 members to be confirmed by the secretariat), attaching their most outstanding merits (ANNEX II).

The doctoral student must guarantee that the proposed evaluating panel meets the requirements established in PC01.PNT05 DEPOSIT AND DEFENSE OF THESIS or basic guide Doctoral theses.

  1. A copy of the publications derived from the PhD thesis. (ANNEX III).
  2. g) If the PhD student wishes to obtain the International Mention for title as Doctor, the following will also be necessary to present:
  1. Two reports from international doctoral experts belonging to a non-Spanish higher educational institution or research institute (different from the person in charge of the centre where the stay took place).
  2. An international member in the court´s proposal, as well as his or her alternate (different from the person responsible for the Centre where the stay was executed) (ANNEXE II).
  3. Documentation accrediting that the doctoral student has gathered all requisites established in point 1 of article 15 of the RD 99/2011.
  4. Part of the doctoral thesis, at least the abstract and conclusions, must be written and presented in one of the common languages appropriate for scientific communication in their field of knowledge, other than any of the official languages in Spain. This rule does not apply when the stays, reports and experts come from a Spanish-speaking country. An abstract in Spanish is compulsory when the thesis is written entirely in a language other than the official languages in Spain.

3. Thesis Committee : sending documentation

The Academic Commission, will communicate the proposal to the court and the approval of the deposit from the CEINDO Director – this sets the beginning of the 15-day deposit and public exposition working period. If applicable, the concerned candidate, the thesis advisor/s, and the Court members are informed within 15 working days

Upon receipt of communication, the PhD student must send each court member:

  • A copy of the thesis in the format indicated.
  • A CV.
  • A copy of the publications derived from the PhD thesis.
  • A Document with Personalized Activities along with the approval of the Thesis Advisor/s and the Academic Commission.

Upon receiving a copy of the thesis, the members of the Court must issue a reasoned report within 15 calendar days, indicating if the thesis meets the necessary requirements to be presented during the defence.

4.Defending and grading the Doctoral Dissertation

The dissertation defense procedure will take place over a public hearing and will consist of the doctoral student’s presentation of preparatory work undertaken, methodology, and dissertation content and conclusions, highlighting any original contributions to the subject of study. The doctors present at the public hearing may ask questions at the time and in the manner specified by the panel´s chairperson.
Once the dissertation defense concludes, following a process of deliberation and closed-door voting process, the panel will award an overall rating of FAIL, PASS, VERY GOOD or EXCELLENT. The panel may award a distinction if the overall rating is excellent and a unanimous positive vote is cast to that effect in a secret ballot.
The Secretary of the Panel shall collect the secret vote of each panel member in a sealed envelope signed on the front, and shall submit it to the Academic Secretary of the CEINDO, who shall then communicate it to interested parties.

The Panel Secretary shall also collect the secret vote of each member, in a sealed and signed envelope, determining whether the doctoral student is eligible for the Extraordinary Doctoral Award. This envelope shall also be submitted to the Academic Secretary of CEINDO, who will proceed to communicate it to the interested parties.
