Assignment of Mentor

Upon admission to the PhD Program, the relevant Academic Committee will assign a Mentor—a doctor with proven research experience who is linked to the University—to each doctoral student.

The Mentor is responsible for the candidate´s initial counselling and supervision, in addition to fulfilling the following functions:

  • Ensuring the doctoral student’s interaction with the Academic Committee of the Program.
  • Assisting their doctoral students in their training process, providing information, guidance, and learning resources.

Having heard the doctoral student, the Doctorate Commission may modify the appointed Mentor at any time during the PhD programme, provided there are good reasons for doing so.

Assignment of Thesis Advisor

Within a maximum period of three (3) months following registration, the relevant Academic Committee will assign a Doctoral Dissertation Supervisor—who may or may not be the same person as the Mentor—to each student. This position may be assigned to any Spanish or foreign doctor with a proven track record in research.

The role of the Dissertation Supervisor includes:

  • Regularly checking the of their doctoral students.
  • Reporting and endorsing the  of their doctoral students on a regular basis.
  • Ensuring that the research results of their doctoral students are fruitful and are disseminated and put to good use through, for example, communications, transfers to other research contexts or, if appropriate, marketing.
  • Issuing positive reports on the Doctoral Thesis.

Having heard the doctoral student, the Academic Committee may, at any time during the doctorate, change his or her appointed Supervisor, provided there are good reasons for doing so.

The dissertation may be co-supervised by other doctors for academic reasons, as in the case of thematic interdisciplinarity or programs implemented by ways of national or international collaboration.

Both the mentor and supervisor must:

  • Sign the commitment document establishing the functions of supervision of their doctoral students.
  • Comply with the Code of Good Practises adopted by CEINDO
  • Regularly check the PhD Activity Report of their doctoral students.

Documentary Commitment

Once enrolled in the Doctoral Programme the student will proceed to sign the It will be signed by the trainee researcher, his/her mentor, thesis advisor(s), and then by the Director of CEINDO.

The documentary commitment sets out the rights and duties of the researcher, mentor and thesis advisor(s), as well as the Institution represented by the Director of CEINDO, committing all of them to comply with the code of good practices.

Annual Evaluation

The Academic Commission will evaluate the activity of the researcher in training annually.  The advisors and researchers must, therefore, upload the following documentation before the indicated date in SIGMA (Download Guide tutorial SIGMA- Spanish):

1. Certificates of the activities passed.

2. The research plan.

3. The report of the thesis advisors.

In the event of a negative evaluation – duly substantiated – the work of the researcher in training will be re-evaluated within a period of six months at the latest, by which time he/she must update the above-mentioned documents.  In the event of another negative evaluation, the researcher will ultimately be withdrawn from the Programme.

PhD Activity Report (DAD)

All trainee researchers must participate in and pass all mandatory training activities planned within the framework of the Programme, as well as ones that they have taken on their own initiative, or as per the indication of their thesis advisor(s).

The PhD activities report in which the researcher-in-training will be recorded in the doctoral student Activity Report.  They must be supported by a document accrediting the successful completion and/or participation in the activity.

All the activities carried out by PhD students must be registered in PORTAL DEL DOCTORANDO- SIGMA: this system will list the types of activities offered by the Programme in accordance with the verification report on it.

Every year, both the thesis Advisor and the mentor will review the activities carried out by the researchers-in-training.

Research plan

Before the end of the first year, research trainees will develop a research plan that includes background, objectives, methodology, bibliography, and a provisional schedule that must be endorsed by the thesis advisor.

This document will be updated annually, and include the results obtained in the evolution of the research, the fulfilment of the timeline and the schedule of the thesis.

The annual report of the thesis advisor

The thesis advisor and, where appropriate, the co-supervisor, must endorse the progress made by the researcher-in-training, in carrying out his/her thesis. They will thus prepare an annual report that will be considered by the Academic Commission for the annual evaluation of the Researcher in Training.

Pre-doctoral day

The Annual Pre-Doctoral Day, conceived as a Compulsory Training Activity within the Doctoral Programs of CEU – International Doctoral School (CEINDO), have the objective of monitoring the activity of the researcher-in-training, evaluating the presentation of the advances and results included in the Research Plan.

At the end of each academic year, the researcher-in-training will publicly defend the research carried out during the year in front of an examining board made up of professors who evaluate the maturity of the research approach (objectives, hypothesis, methodology), the oral presentation of the same and the temporary organization and progress of the Project.

The evaluation of the panel allow monitoring of the progress of the doctoral student by the Academic Committee.

In addition, these Conferences become a meeting point between students of the Program to facilitate the exchange of ideas and the search for synergies for future collaborations.

Pre-Doctoral Day

The Annual Pre-Doctoral Day, conceived as a Compulsory Training Activity within the Doctoral Programs of CEU – International Doctoral School (CEINDO), have the objective of monitoring the activity of the researcher-in-training, evaluating the presentation of the advances and results included in the Research Plan.

At the end of each academic year, the researcher-in-training will publicly defend the research carried out during the year in front of an examining board made up of professors who evaluate the maturity of the research approach (objectives, hypothesis, methodology), the oral presentation of the same and the temporary organization and progress of the Project.

The evaluation of the panel, together with the Personalized Activity Book and the thesis advisor report, allow continuous monitoring of the progress of the doctoral student by the Academic Committee.

In addition, these Conferences become a meeting point between students of the Program to facilitate the exchange of ideas and the search for synergies for future collaborations.
